This policy explains how Viet Medical Travel collects, uses, stores and discloses personal information, and how you can access it, correct it, or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Who we are

Viet Medical Travel is a healthcare, wellness and lifestyle concierge service for people exploring private healthcare options in Vietnam. In this policy, “we”, “us” and “our” mean Viet Medical Travel.

What we collect

When you send an enquiry through this website, we collect what you type into the form:

  • your name
  • your email address
  • your phone or WhatsApp number, if you provide it
  • your country, if you provide it
  • the service or topic you tell us you are interested in
  • the content of your message

If you contact us by email, phone or messaging app instead, we collect whatever you choose to tell us in that conversation.

Information collected automatically

Our enquiry system also records some technical information with each submission: your IP address, the approximate city and country worked out from it, your browser and device type, and the page you sent the enquiry from. We use this to filter spam and to understand how people are reaching us. We do not use it to build a profile of you.

Health information

We ask you not to send diagnoses, medical history, medications, test results or medical documents through this website. Our forms are for general questions, and we say so at the point where you fill them in.

Health information is “sensitive information” under the Privacy Act and is given extra protection. If you send us health information anyway, we will treat it as sensitive information, use it only to respond to you, avoid copying it further than necessary, and delete it once it is no longer needed for that purpose.

Why we collect it

We collect personal information so we can respond to your enquiry, have a conversation about what you are exploring, provide the concierge and coordination services you ask us for, and keep a record of our dealings with you. We do not sell personal information, and we do not disclose it for anyone else’s marketing.

Marketing

We do not add people to a mailing list simply for sending an enquiry. If we ever offer a newsletter or similar, joining will be a separate, optional choice, and every message will include a way to unsubscribe.

Who we share it with, including overseas

To arrange or coordinate what you ask us to, we may need to share relevant details with third parties such as hospitals, clinics, practitioners, interpreters, accommodation providers and transport providers. We share only what is needed for that purpose, and we will tell you before passing your details to a provider.

Many of these providers are in Vietnam. Vietnam does not have privacy laws equivalent to the Australian Privacy Principles. By asking us to arrange or enquire about services there, you consent to your personal information being disclosed to those overseas recipients. You acknowledge that we may not be able to take reasonable steps to ensure they handle it in line with the Australian Privacy Principles, and that Australian Privacy Principle 8.1 will not apply to that disclosure.

We also use service providers who handle information on our behalf, including our website host and our email provider. They are bound to use it only for the services they provide to us.

We may also disclose personal information where the law requires or permits it.

How it is stored and secured

Enquiries are stored in this website’s database and are also sent to our business email address. The website is hosted by Hostinger. Everything you submit travels over an encrypted connection (HTTPS), administrator access is restricted and password protected, and we keep the website and its software up to date.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

How long we keep it

We keep enquiry records for as long as needed for the purpose they were collected, and generally for up to 24 months after our last contact with you, unless you ask us to delete them sooner or the law requires us to keep them longer. After that we delete or de-identify them.

Data breaches

If a data breach happens that is likely to result in serious harm, we will assess it promptly, notify the people affected, and notify the Office of the Australian Information Commissioner, as required by the Notifiable Data Breaches scheme.

Cookies

This website uses only the cookies it needs to work, including cookies set by WordPress and by our caching system so pages load quickly. We do not use advertising cookies, and we do not track you across other websites.

We measure how the site is used with Independent Analytics, which runs on our own server rather than sending your information to a third-party analytics service. It does not set tracking cookies. It records aggregate information such as which pages are viewed, the site you arrived from, and general device and location information, so we can see what people find useful.

You can block or delete cookies in your browser settings, though some parts of the site may not behave as expected.

Accessing and correcting your information

You can ask for a copy of the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Email us at info@vietmedicaltravel.com and we will respond within a reasonable period, usually within 30 days. We may need to confirm your identity first. If we cannot give you access, we will explain why in writing.

You can also ask us to delete the enquiry you sent, and we will do so unless we are required to keep it.

Complaints

If you think we have mishandled your personal information, please tell us first at info@vietmedicaltravel.com so we can try to put it right. We will acknowledge your complaint and aim to respond within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au, by calling 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.

Changes to this policy

We may update this policy from time to time. The current version is always on this page, with the date it was last updated shown at the top.
